Who owns the data in Church On The Cloud?

At all times, you retain ownership of all data that you provide to us for importing, in addition to any data you enter or upload yourself into Church On The Cloud. You have control over the user accounts that can access Church On The Cloud, and it is your responsibility to ensure that those usernames/passwords are kept safe and secure, and are only granted to people you trust.


Can I export my data from within Church On The Cloud?

Yes, much of the data that you enter into Church On The Cloud can be exported from within the “Communication” section within each module. In addition to this, we provide a “Reports” section within many modules that allows you to visualise, export and print much of the data we are unable to export in a meaningful format.


What access do we at Church On The Cloud have to your account?

We have the ability to access your account through a secure master login, which gives us Admin rights within your account. If ever a change is made to any data within your account from one of the team at Church On The Cloud, the record will have a note that it was modified by "church on the cloud", along with the date and time the change was made.

We may access your account for one of the following reasons:

  • You have informed us that there is a problem with your account and we need to access your account to diagnose the problem.
  • Our automated bug tracking system has flagged up your account as having had a problem and we are unable to reproduce the bug through our internal testing systems.

We also monitor account usage and patterns of activity, such as when an account was last accessed and how much data you are using Church On The Cloud to keep track of. With this data, we are able to better understand and develop the most used features of Church On The Cloud, and also ensure that the system’s security is maintained and that our servers are able to cope with the demand.

What personal information do Church On The Cloud hold on me?

When you sign up for a free trial, you provide your name and contact details, along with basic information on your church, such as its name. We may use this information to:

  • Contact you during and after the trial period to gather feedback regarding your Church On The Cloud experience.
  • Maintain our own accounts, including our monthly billing system.
  • Email you details of new features we have added to Church On The Cloud.

Correcting and updating your personal information

You are able to see the personal information we hold on each Church On The Cloud account holder from within the Administrator module within your Church On The Cloud account.

If you no longer have a Church On The Cloud account, you can correct your personal information by contacting us through the Church On The Cloud website (http://wwww.churchonthecloud.co.za).

If you wish to request a copy of the personal information we hold about you, you can contact us through the Church On The Cloud website. We may charge you an administration fee for providing this information.

How secure is my data in Church On The Cloud?

Once we have received any data and stored it on our servers, we make commercially reasonable efforts to ensure its security on our system. To this end, we have chosen to host our Church On The Cloud servers in a data centre that meets some of the strictest of industry security requirements.

What about cookies within Church On The Cloud?

Cookies are used extensively throughout Church On The Cloud to remember your personal preferences and customise your experience. For example, we use cookies to:

  • Remember your last used settings for reports so that you don’t have to re-enter the details when you next return to the report.
  • Remember what you last searched for within Church On The Cloud so that you don’t have to re-type the search criteria.

These cookies contain no personal information about you nor any of the contacts you use Church On The Cloud to manage.

If you choose to disable cookies in your web browser, you will not be able to gain access to Church On The Cloud.

What happens if I cancel my Church On The Cloud subscription?

If you choose to cancel, your Church On The Cloud account will be immediately removed and cease to operate. All data held within the account will be permanently removed. Due to the nature of our incremental backup system, it may be the case that the data that was previously held within your account will exist on our servers for up to 30 days after your account is deleted. After this period, all traces of data from your account will have been permanently deleted.

We retain historical billing and account information for accounting and statistical purposes. We are required to retain this information by law, and will endeavour not to retain any unnecessary data.


Will Church On The Cloud ever share my data with others?

We will not pass on your personal information or the details of any data held within your Church On The Cloud account to any third party.



Your church has full ownership of all data contained in your database and Church on the Cloud does not have any right to use or disclose your data to any third party
